How to control revenue and front-desk staff in a gaming club
A cash gap is not always theft: unrecorded discounts, open sessions and bar rung up separately all drag revenue down. The goal is transparent process, not accusing staff.
Typical loss patterns
Often gaps, not malice: booking not in system, free extension, mate discount without note, bar cash on the side.
- Sessions never started or closed
- Unlogged discounts and free time
- Bar off session bill
- Cash out before shift close
Shift open and close
Every shift starts with opening float and ends with counted cash, card turnover and explained variance.
- Opening float and responsible person
- Rules for cash payouts
- Close: cash + terminal + variance
Action log
Discounts, voids, time edits, drawer opens should appear in a log. Owners review weekly trends, not micromanage hourly.
Bar on the session bill
When drinks and snacks sit on the same session, average check and till align. Separate tickets tempt shortcuts.
Discounts and permissions
Cap discount by role; require a reason field. “Friends rate” should not be unlimited.
Owner reports
Utilisation, average session length, bar share, discount volume — weekly. Anomalies: one admin always high discount, night shift variance.
